I try to remember to Jan 23, 2011

I don't bother with my long-standing clients, but with the others, I think it's the courteous thing to do. It also leaves them with a nice memory of me for the future.

always Jan 23, 2011

I consider it is the right thing to do.

I also confirm correct receipt of the translation files, in this way clients understand that they also have to confirm correct receipt of translations, invoices etc.

A simple "thank you". Jan 23, 2011

It's a way of extending a receipt for money and also the truth is that I am always grateful to get paid.

During the course of the project, I always make a point of including "thank yous" and other courteous touches in the e-mails I send to clients, and I always thank the client in the invoice I send after completing the work. I therefore don't think it necessary to thank the client yet again for receiving payment, unless the client specifically requests acknowledgement of receipt of payment.

usually Jan 23, 2011

especially with new clients, but I usually send them an email letting them know I got their check and thanks...if it was sent by mail, just letting them know it arrived. A couple of clients actually send ME emails telling me the check is in the mail!
With Paypal, they know when it's received but I'll usually just send a thanks email. Why not. It takes no time, costs nothing and maintains a nice friendly relationship!

In case of a late payment, but... Jan 23, 2011

I send a message of good receipt of payment only in case of a late payment for which I sent a reminder. But maybe I should do it more systematically, it's also a good way to attach a small "I'm at your disposal for any further work!".

Interesting responses Jan 23, 2011

Over 40% so far have answered "No", whereas I was expecting the vast majority to reply "Yes, always", with most of the rest being "Yes, sometimes". In fact, at the moment, only 23% fall into the "Yes, always" category. I'm glad I asked!

I was in the "sometimes" category until a while ago, when two clients independently sent emails asking if I'd received their payments. A clear message there that I was failing them and they were right, I think. I'm quick to email them if their paymen

I was in the "sometimes" category until a while ago, when two clients independently sent emails asking if I'd received their payments. A clear message there that I was failing them and they were right, I think. I'm quick to email them if their payment is overdue - why should I fail to email them when their payment is received before the last due date?

Now I try to drop them an acknowledgement (not a lot more) systematically on receipt of payment, whether by cheque, bank transfer or PayPal. A couple of times I've had replies along the lines of "Don't mention it. You did a great job!".

So I'm glad to see that if I occasionally forget then it's not a great failure - I won't be the only one not acknowledging receipt. But I think I'll continue to make the effort.

Sending an e-mail to acknowledge receipt of a payment seems unnecessary. Surely the person knows the payment was completed when the money disappears from their account at the bank or Paypal or Moneybookers. If they've paid by check, as many of my clients do, their bank also provides them with a copy or scan of the canceled check, so there's no doubt that I've received the money. If they need to document the expense for tax purposes, they can always use the original invoice.

The only time I provide a receipt is for individual direct clients (people asking me to translate their personal documents), whom I require to pay in advance. No one else has ever asked me for a receipt, since they have other ways to document the payment.

I do send acknowledgment e-mails to confirm receipt of work that I've subcontracted, but rarely acknowledgment of payments.

Thanks for the "heads up". I used to always acknowledge but "always" has become "seldom" (less than sometimes), which is bad business.

early payment Jan 23, 2011

I acknowledge receipt and thank my clients when they pay earlier than the agreed payment terms.

Otherwise I only acknowledge if specifically asked to do so, or if I receive their cheque/transfer just after following up for late payment.
